- Contract Management: Contracts if applicable can be maintained client wise and are cascaded down to each client location of a client. The contracts are recorded period wise with details like value, SLA, Visits allowed and frequency of visits. Each visit of a contractual job updates the contract and a user can at any point of time find the contract status in terms of last maintenance, next maintenance, total & pending visits and charges & costs recorded against a visit and contract.
- Call Management: The front office help desk is provided a facility to record a call from a client or a prospective client/location for a job or contract. The calls received are categorised in a logical order and further converted to jobs. This enables the management to track the prospective clients and the existing client problems for an effective client management.

- Job Maintenance: Records a job against a contract/call/client/location. A job is categorised into Urgency, Allocation Centre, Prefix, Department and four different categorised miscellaneous information as required by the user. The supervisory resources supervising the job are allocated and recorded.
- Job Assets: Users dealing in asset maintenance can record the asset faults with complete fault details. The application automatically displays the fault statistics over a period of time. Job Visits & Costing is done based on Asset Faults and statistical reports are generated for analysis.
- Job Allocation: The Engineers with their trades are made available based on their geographical (post code) proximity with the visit site and their availability on the visit date for allocating to attend the job. The estimated hours to finish a job and faulty assets if any are also linked to each engineer and a visit for a job. External resources (contractors) can also be allocated for a job.
- Job Scheduling: The job transition from various stages starting from Job Starting date to Allocation to Quotation to Paper work to Approval to Scheduling to Finished is recorded. The elapsed days between each stage is generated automatically to enable the supervisors to keep a track of the progress of a job.
- Job Visits: The jobs, which are not completed in a single visit, need more visits for the completion. The further visits with allocated engineers are recorded. This provides a good tool to the Supervisor to know the job status and visit history.
- Job Costing: Job costing can be a continuous process till a job is finished and multiple cost items can be recorded against a job at any stage of its transition from Job receipt till job finish. Cost items are fully configurable and primarily grouped under Staff cost, Material Cost and Other Cost, which are user pre-defined cost entities. The standard rates are automatically picked from user-defined rates and if allowed by the administrator the rates can be altered. Against each cost a charge entry is also generated, based on the pre-defined charge rates and automatic profit/loss for each cost transaction and each cost activity (e.g. Staff) and a job is generated.
- Job Invoice: This is the final stage of a job, where an invoice is generated based on costing of a job and printed in a pre-defined format. Part and/or multiple invoices of a job are allowed thus enabling the user to raise an invoice at any stage of a job. For part invoicing the user is displayed a complete list of not-invoiced costing entries and he can choose and pick the costing entries to be included in part invoice. The administrator can set the VAT/Tax rates and the same is applied during the invoice creation. Invoiced data can be downloaded and uploaded in the SAGE application. A complete link of a job and its multiple costing and its multiple invoicing is available to a user, which can be consolidated for summary view.
- SAGE Accounting - Interface: The invoices (service) can be downloaded to a CSV format and uploaded directly into the SAGE application thus providing a seamless interface with SAGE. Works Manager automatically parses the fit Invoices for the SAGE transfer and maintains a complete record of invoice transferred for SAGE thus avoiding duplication of invoices. The invoices to be transferred can be filtered on the basis of date range and the data to be transferred is displayed on the screen and also transferred to Excel for any validations before generating it for SAGE upload. No separate set up is required for SAGE interface.
- MOM Auto link - Mail Client Interface: In order to facilitate the field engineers to update a job status directly via an email, or SMS from a remote location, "Autolink" an optional licensed application, which can plug into Works Manager, is provided and no separate configuration is required. The only requirement is that the mail client (Microsoft Outlook/ Outlook Express) and Autolink should run along side with the server part of Works Manager. The message delimiter is user definable so that the special characters supported by different mobile handset can be pre-defined by the administrator depending upon the vastly used handset by the field engineers. All the relevant messages received by the mail client are continuously parsed and picked by the Autolink and updated in Works Manager.
- Microsoft Excel - Interface: The typical reporting information can be transferred to Microsoft Excel, so that the advanced users can analyse the information as per their specific requirements. No separate configuration is required to set up this interface.
- Crystal Reports - Interface: The advanced customers under strict licensing agreement can be provided database privileges and trained on their version of Crystal Report so that their users can design and generate their own reports. However the Works Manager by default is provided with strong reporting module, which includes listings, sheets, registers, statistics and Template reports.
- Web - Interface: An optional licensed web application provides a facility to the user to view the complete information on the web and record a job except any financial transaction like costing and/or invoicing. The web application is secured and the navigation is strictly limited to the access rights defined by the administrator. The web application can be extended to provide a single window to the end users (clients of Works Manager customer) so that they can view the status of their job without contacting the help-desk. The job information is divided under logical groups so that the navigation is simple and user friendly. The desktop users do not need any special training to use the web application as the structure and layout of the information is designed similar to desktop application. The standard web browsers, Netscape 4.79 or above and Internet Explorer 5.0 and above is supported. The basic requirement to run the web application is the IIS web server and Internet connectivity.
- Report Engine: The product is supplied with a wide range of transactional reports, which can be parsed based on applicable filters. Standard reports like Job sheet, Asset Register, Costing Sheet, Invoice etc is pre- designed based on existing users requirements. Other reports show a range of information that can be filtered by the user. The reports where ever applicable can be transferred to Microsoft Excel for further analysis. Besides the customised reports a powerful template report feature is provided. This allows custom reports to be designed easily and quickly.
- Template Reports: Users can design and save their own reporting formats for future use. The users are provided with a blank template with following facilities:
- Any fields related to a job can be chosen.
- Apply date and corresponding number range filters.
- Apply key indicator filters like

- Department
- Prefix
- Urgency
- Save the template with user defined name.
- See the information on the fly in a grid on the screen.
- Transfer the information to Microsoft Excel.
- Print the information to a standard printer.
- Management Reports: The reports are primarily for managers to have a glance of information in a summarized view. These reports provide a tool for the managers to take immediate and quick decisions and plan a course of action for urgent matters. The logical filters are provided to parse the information based on managerial discretion so as to take a proactive measure.
